Should you wish to modify your Workshop:


Once we have confirmed your booking, any change you wish to make to your holiday arrangements must be notified to us in writing and will be carried out subject to availability. For changes notified more than eight weeks before your departure date, an arrangement fee of £20 per person will be charged. In addition any amendment fee or cancellation charge levied by an airline or channel crossing operator will be payable by the client. Changes notified within eight weeks of your departure date will be treated as a cancellation of your original booking and cancellation charges as set out below will be levied.


Should you wish to cancel your Workshop:


If you fail to pay in full 8 weeks prior to departure, we reserve the right to cancel your booking. In case of cancellation due to nonpayment, any deposit paid will be forfeited. Should you or any member of your party need to cancel your booking, we must receive notice of in writing or by email from the person making the original booking. The cancellation will take effect from the date that such written notice is received at our offices, and the following cancellation charges will apply. The following charges are expressed as a percentage of the total Workshop price (excluding the flight element, of which the Winter Workshop is entirely not responsible):

More than 56 days prior to departure » Deposit (considered to be £50 out of entire booking amount)

Between 42 and 56 days prior to departure » 30%

Between 28 and 41 days prior to departure » 50%

Between 15 and 27 days prior to departure » 75%

Between 8 and 14 days prior to departure » 90%

7 days or less prior to departure » 100%


Cancellation by the Winter Workshop


Very occasionally it may be necessary for us to cancel a specific departure. We reserve the right to do this for any reason up to four weeks prior to the departure date. In these circumstances, you will be entitled to: a) Book any other available Workshop dates; or b) receive a full refund of all monies paid to the Winter Workshop. PLEASE NOTE that the Winter Workshop will not refund the cost of flights, and in case of cancellation you must seek reimbursement by existing travel insurance coverage.


Alterations to Itinerary


We will use our best endeavours to ensure that none of the details of your Workshop arrangements have to be altered. However, occasions may arise when we cannot follow our advertised itineraries, or cannot maintain our advertised schedules. Our itineraries are put forward as a statement of intention only, not as representations or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruptions of planned itineraries beyond our control, e.g. war, threat of war, riots, civil strike, terrorist activity, strikes, governmental action, natural disasters, fire, technical problems of transport, closure of ports or airports, cancellation or changes of schedule by scheduled airlines, or similar events beyond our control, such expenses are to be borne by the clients.


Passports, Visas and Health requirements


A valid American or British Passport is required to gain entry to Spain. If you need to apply for a new passport or for its renewal, make such application at least eight weeks before departure. Foreign nationals are advised to contact their local Spanish embassy to check their visa requirements. At the time of publication, (March 2008) no vaccinations are required for the Workshops advertised on our website. The Department of Health provides health advice for travelers and online application for an EHIC card giving citizens of member states reciprocal health benefits within the EU. 


Agency Bookings


All monies paid to an Agent in respect of a Winter Workshop are held by that Agent on behalf of the Winter Workshop Ltd.


Transport


The Winter Workshop do not act as agents for any airline and are not responsible for any of the following factors that may shorten, interrupt, or prevent the full experience of any Workshop: delays or cancellations of flights, lost/stolen/damaged luggage including bicycles, lack of available cheap flights, etc. It is your responsibility to book flights in a timely manner within a reasonable range of having booked your Workshop in order to ensure ease of travel to the Winter Workshop. 


Transfer


The cost of a Winter Workshop will be inclusive of a transfer of your person + luggage from Malaga airport on Saturdays ONLY. If you require any transfer arrangements to be made for you OR YOUR LUGGAGE (including bicycle) outwith flights arriving on Saturdays to Malaga airport FOR ANY REASON, even in the case of your flight being delayed or cancelled or the arrival of your luggage/bicycle being delayed, you agree to pay a surcharge for this service, which the Winter Workshop will arrange in excess of your booking costs. Excess transfer costs are to be paid in cash at the start of the transfer from the airport to the Workshop accommodation.


Price Guarantee


Whilst we reserve the right to increase or decrease brochure prices at any time, once you have booked your holiday and paid the deposit, the price of your holiday as shown on your booking confirmation is fully guaranteed and will not be subject to any surcharge. Our 2008 - 09 prices are based on the following exchange rate: 1 Euro = .7872 GBP
